Midwest Goods Inc. is Hiring a Bilingual Administrative Assistant Near Bensenville, IL

 
 
 

Location: Bensenville, IL (On-site)

Schedule: Monday - Friday 9:00 AM - 6:00 PM

Status: Full-time (Non-exempt)

Compensation: Starting at $20.00 hourly

$300 Sign-on Bonus After Completion of the 90-day Probationary Period

Responsible for handling front office reception and administration duties, including greeting guests and offering them a beverage, answering phones, handling company inquiries, and sorting and distributing mail. 

Essential Functions

  • Plans, organizes, and controls all activities of the Front Desk Area, coordinating with various departments in assisting of their visitors and employees.
  • Greet visitors warmly and make sure to serve and offer refreshments .
  • Maintain security by following procedures; checking visitors in and out; issuing visitor badges.
  • Answer, screen, and route incoming phone calls.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
  • Answer client inquiries.
  • Generate reports, create presentations, and conduct research.
  • Contact various vendors and do thorough research for generating quotes.
  • Manage staff appointments.
  • Order office and warehouse supplies on a weekly basis. 
  • Give Warehouse tours to visitors and vendors as and when necessary. 
  • Maintaining supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies by working with different departments from time to time and uploading them correctly in the system for payments.
  • Receive daily mail/deliveries. 
  • Manage and prepare reception and conference room area.
  • Work on required projects supporting departments.
  • Make independent decisions and function with minimal supervision.
  • Respond promptly, efficiently, and professionally.
  • Assist with other related clerical duties such as photocopying, faxing, filing, and collating.
  • Perform other duties as assigned by the Upper Management.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, smartphones, photocopiers, filing cabinets, and fax machines.

Preferred Education and Experience

High school diploma or GED with at least one year of work experience in a clerical/office support position; or any combination of education, training, and experience that demonstrates the ability to perform the duties of the position. Intermediate computer skills and Microsoft Office experience including Word, Excel. Knowledge of Google-based programs such as Google Sheets/Docs. Inventory management experience is a plus.

Work Authorization

Must have legal authorization to work in the United States.
